Install and set up Chromeflow

Chromeflow is a free Chrome extension that works alongside your Sortaflow account. You need an active Sortaflow account (or free trial) before signing in. Installation takes under 60 seconds.

Install the extension

The floating action button

Once signed in, a floating pink Sortaflow button appears on every Etsy page.

• Left-click — opens the Chromeflow sidebar (orders, tags, todos, batches, uploads).
• Drag — the button is draggable; its position is saved across sessions.
• Hide/show — toggle the floating button via the toolbar popup.

Popup quick links

Clicking the toolbar icon opens the Chromeflow popup. From here you can sign in/out, open quick links to Board Flow, Pack Mode, Tag Manager, and List Manager, toggle the floating button, and choose from 14 icon styles.

Viewing and managing orders

The Orders tab lists all open orders synced from Etsy, with your Sortaflow data (tags, checklists, assignments) overlaid on each order.

Searching and filtering

Use the search bar to find orders by order number, buyer name, or item title. Filters below the search bar include:

• Status — filter by workflow status (New, In Progress, Shipped, etc.)
• Gift orders — show only orders containing a gift message.
• Tag — filter by one or more tags.

Sorting orders

Sort by Newest first (default), Oldest first, or Buyer name A–Z.

Bulk selection

Check the checkbox next to any order to select it. A bulk action toolbar appears at the top — apply/remove tags and print packing slips or production sheets for all selected orders at once.

Printing

Each order's three-dot (⋯) menu has a print option for Packing slips and Production sheets.

Colour-coded order tags

Tags are custom labels you create to classify orders. They are stored in Sortaflow — customers and Etsy never see them.

• Sidebar — open the order, click the tag icon, select tags.
• Overlay mode — click the tag icon in the widget on any Etsy order row.
• Bulk action — select multiple orders and apply a tag to all at once.

Filtering by tag

Use the Tag filter dropdown in the Orders tab. Tag filters combine with search and other filters.

Reusable fulfilment checklists

Create checklist templates in the dashboard, then apply them to orders in the extension.

In the sidebar, open an order and click the Checklist icon. Select a template. The checklist is shared — every team member sees the same state.

Tracking progress

Each item has a checkbox that saves instantly and syncs to the whole team. The order row shows a live progress indicator (e.g. 2/4 steps complete).

Scan-to-pack fulfilment workflow

Pack Mode turns the sidebar into a fulfilment scanner. Scan or type an order number to pull up details, checklists, and actions — no mouse needed.

Edit dozens of orders without leaving Etsy

Overlay mode injects a widget bar onto every order card on Etsy's orders page — tag, colour-code, assign, and check off items directly in the Etsy UI.

Navigate to your Etsy orders page. Widgets appear automatically below each order row once Chromeflow is signed in.

Performance notes

Overlay mode uses batch DOM processing and a 30-second sync cycle with 3 automatic retries on failure. It monitors URL changes so the overlay reloads correctly when you paginate within Etsy.

Group and ship orders in batches

The Batches tab lets you group orders for bulk shipping or production runs, with ShipStation sync and direct Etsy UI selection.

Batch statuses

• Building — still adding orders to this batch.
• In ShipStation — pushed to ShipStation for label generation.
• Shipped — all orders in the batch have been dispatched.

Team todo lists with priorities and due dates

The Todos tab provides shared to-do lists for your team — general-purpose task tracking separate from order checklists.

Task options

• Priority — Low, Medium, or High.
• Due date — click the calendar icon. Overdue tasks are highlighted.
• Complete — check the checkbox to mark done. Completed tasks can be hidden.

Receive and manage customer file uploads

If you sell personalised products, the Uploads tab shows all received files and lets you match them to orders.

Viewing uploads

Each upload shows a thumbnail, customer name, order number (if matched), upload date, file size, and match status (Matched/Unmatched). Hover over a thumbnail to open the full-size file in a new tab.

How sync works

Chromeflow uses Supabase Realtime channels to push changes instantly to all connected team members without requiring a page refresh.

What triggers a sync

• Tags applied or removed on an order.
• Checklist items checked or unchecked.
• Notes added, edited, or deleted.
• Team assignments changed.
• Batches created, updated, or closed.
• Order row colours changed.
• Todo tasks added, completed, or deleted.

Overlay sync cycle

Overlay mode runs a background sync every 30 seconds and retries up to 3 times on failure before surfacing an error.

Checking connection status

A green pulsing dot in the sidebar header indicates an active real-time connection. If grey, check your internet connection or sign out and back in.

Collaborate with your team

Every team member installs the extension, signs in with their own Sortaflow account, and sees the same real-time data — tags, checklists, notes, assignments, and batch status.

Adding team members

Once a member accepts and signs in to the extension, they appear in the assignment picker.

Assigning orders

Assign an order via the sidebar Assign button or the overlay mode person icon. The assigned member's avatar appears on the order row for all team members.

Internal notes

Notes are attached to orders, visible to all team members, and show the author's name and timestamp. They are stored in Sortaflow — never on Etsy.

Permissions

Role-based permissions (admin, manager, member) are managed in the dashboard under Team Permissions.

Common issues and fixes

Extension not showing on Etsy

• Confirm you are signed in via the toolbar popup.
• Check the extension is enabled at chrome://extensions.
• Hard-refresh the Etsy page (Ctrl+Shift+R / Cmd+Shift+R).
• Try closing and reopening Chrome entirely.

Cannot sign in

• Verify credentials at app.sortaflow.com.
• If using SSO or Etsy OAuth, sign in to the dashboard first, then return to the extension popup.
• Check that app.sortaflow.com is not blocked by an ad blocker.
• Try an Incognito window to rule out conflicting extensions.

Tags or checklists not saving

• Check the real-time connection indicator — if grey, reload the page.
• Sign out and back in to refresh your auth token.
• Ensure your Sortaflow subscription is active — expired trials prevent writes.

Overlay widgets missing on some rows

Etsy occasionally changes its orders page markup. If widgets appear on some rows but not others:

• Wait 30 seconds for the background sync to re-render the overlay.
• Reload the Etsy orders page.
• If the issue persists, contact support — we may need to update the overlay selector.

Data out of sync between team members

• Both users must be on the same Sortaflow organisation (check under Team in the dashboard).
• Both must be signed in to the extension, not just the dashboard.
• A hard reload (Ctrl+Shift+R) usually restores real-time connectivity.
