Terms of Service
We’ve written these terms the way we’d want to read them — clear, fair, and free of unnecessary legalese. Please take a few minutes to read them.

Acceptance of Terms
By accessing or using Sortaflow (the “Service”), you agree to be bound by these Terms of Service (“Terms”). If you are using the Service on behalf of a business or organisation, you represent that you have the authority to bind that entity to these Terms — in which case “you” refers to that entity.
If you do not agree to these Terms, please do not access or use the Service. Your continued use after any updates constitutes acceptance of the revised Terms.
Service Description
Sortaflow is a multi-tenant order management SaaS platform designed for Etsy sellers. The Service includes:
- A web-based kanban dashboard for organising and tracking Etsy orders
- Workflow automation rules that tag and route orders based on criteria you define
- Pack mode — a scan-and-verify fulfilment workflow
- Team management tools for inviting and managing staff
- A Chrome extension for interacting with Sortaflow while browsing Etsy.com
- Bulk listing management features for your Etsy shop
We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with reasonable notice when possible.
Your Account
Registration
You must create an account to use the Service. You agree to provide accurate, current, and complete information and to keep it updated. You must be at least 18 years old (or the age of majority in your jurisdiction) to create an account.
Account Security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You agree to:
- Use a strong, unique password and never share it
- Enable two-factor authentication if you have admin or elevated privileges
- Notify us immediately at support@sortaflow.com if you suspect unauthorised access
- Not allow others to use your account credentials
Organisations & Teams
You may create an organisation and invite team members. As the organisation owner, you take responsibility for all actions taken by members of your organisation on the Service. You can manage permissions and remove members at any time from your settings.
Subscriptions & Billing
Plans & Pricing
Sortaflow offers free and paid subscription plans. Paid plans are billed on a monthly or annual cycle as selected at checkout. All prices are listed in USD and exclude any applicable taxes.
Free Trial
We may offer a free trial period. Unless you cancel before the trial ends, your payment method will be charged for the first billing cycle. We will send a reminder email before the trial expires.
Payment
Payments are processed by Stripe. We never store your full card number. By providing a payment method, you authorise us to charge that method for all fees due. If a payment fails, we will notify you and allow a grace period before suspending your account.
Cancellation & Refunds
- You may cancel your subscription at any time from your billing settings.
- Cancellation takes effect at the end of the current billing period — you keep access until then.
- We do not offer prorated refunds for mid-cycle cancellations by default.
- If you experience a significant service outage (more than 24 continuous hours) caused by us, contact us for a prorated credit.
- We offer a 14-day money-back guarantee for first-time subscribers on paid plans. Contact us within 14 days of your first charge.
Price Changes
We will give at least 30 days’ notice before increasing prices for existing subscribers. You may cancel before the new price takes effect if you disagree.
Acceptable Use
You agree to use the Service only for lawful purposes and in ways that do not infringe others’ rights. The following are prohibited:
- Using the Service to violate Etsy's Terms of Use or any applicable law
- Attempting to gain unauthorised access to any part of the Service or its underlying infrastructure
- Scraping, reverse-engineering, or creating derivative works from the Service without our written consent
- Uploading malware, viruses, or any code intended to harm systems or users
- Using automated bots, scrapers, or crawlers against the Service (beyond approved API usage)
- Reselling or sublicensing access to the Service without our written consent
- Using the Service to store or transmit content that is illegal, harassing, or violates third-party rights
- Attempting to circumvent any rate limits, access controls, or security measures
Violations may result in immediate account suspension or termination, at our sole discretion. We will make reasonable efforts to contact you first for non-malicious violations.
Etsy Integration
Sortaflow integrates with the Etsy API to provide its core functionality. By connecting your Etsy shop, you acknowledge and agree to the following:
- You are responsible for ensuring your use of Sortaflow complies with Etsy's Terms of Use and API policies.
- We are not affiliated with, endorsed by, or in any way officially connected with Etsy Inc.
- Etsy may update its API, change available scopes, or revoke Sortaflow's API access at any time. We are not liable for service disruptions caused by Etsy-side changes.
- You grant us permission to access your Etsy shop data under the OAuth scopes you authorise, solely to provide the Service.
- You may disconnect your Etsy shop at any time. Doing so will limit Service functionality but will not automatically delete your account or data.
Intellectual Property
Sortaflow’s IP
The Service, including its software, design, trademarks, and content, is owned by Sortaflow and protected by intellectual property laws. These Terms do not grant you any rights to our trademarks, trade names, or branding.
Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable licence to access and use the Service for your internal business purposes.
Your Content
You retain ownership of all data, content, and information you upload to or generate within the Service (“Your Content”). You grant us a limited licence to process, display, and store Your Content solely to provide the Service to you.
You represent that you have all necessary rights to Your Content and that it does not infringe any third-party rights.
Feedback
If you submit feedback, suggestions, or ideas about the Service, you grant us a perpetual, royalty-free licence to use that feedback for any purpose, including improving and developing the Service. We won’t identify you publicly without your permission.
Your Data
We care about your data. Our Privacy Policy explains in full how we collect, use, and protect your information — please read it alongside these Terms.
- Your Etsy order data and shop data belong to you. We process it only to provide the Service.
- We use industry-standard encryption and Row-Level Security to keep your organisation's data isolated from other users.
- On account deletion, we will permanently delete your data within 30 days, except where retention is required by law (e.g. billing records).
- We may use aggregated, anonymised data (with no personally identifiable information) to improve the Service and publish industry insights.
Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not warrant that:
- The Service will be uninterrupted, error-free, or fully secure at all times
- Any errors or defects will be corrected
- The Service will meet your specific business requirements
- Data synced from Etsy will always be real-time accurate (sync delays may occur)
Some jurisdictions do not allow exclusion of implied warranties. In such cases, our liability is limited to the maximum extent permitted by law.
Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, SORTAFLOW AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES — INCLUDING LOST PROFITS, LOST DATA, OR BUSINESS INTERRUPTION — ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.
IN NO EVENT SHALL OUR TOTAL AGGREGATE LIABILITY EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID TO US IN THE 12 MONTHS PRECEDING THE CLAIM, OR (B) USD $50.
Termination
By You
You may close your account at any time from your account settings or by emailing support@sortaflow.com. Your data will be deleted within 30 days of closure.
By Us
We reserve the right to suspend or terminate your account if you violate these Terms, engage in fraudulent activity, or abuse the Service. We will make reasonable efforts to notify you and give you a chance to resolve the issue before terminating, except in cases of serious violations (fraud, security threats, illegal activity).
Effect of Termination
- Your access to the Service will end immediately on termination
- Any outstanding subscription fees remain due
- Provisions that should survive termination (IP, liability limits, disputes) will continue to apply
- You may request an export of your data before termination; we will provide it in a machine-readable format within 7 days of request
Disputes
Governing Law
These Terms are governed by the laws of the State of Delaware, United States, without regard to its conflict-of-law provisions. If you are a consumer in the EU or UK, you also benefit from the mandatory consumer protection laws of your country of residence.
Informal Resolution First
Before filing any formal dispute, you agree to email us at support@sortaflow.com with a description of the dispute. We will try to resolve it informally within 30 days. Most issues can be sorted out this way.
Arbitration
If informal resolution fails, disputes shall be resolved by binding arbitration under the rules of the American Arbitration Association (AAA), except that either party may seek injunctive or equitable relief in court to protect intellectual property rights or prevent imminent harm.
Class action waiver: You agree to resolve disputes on an individual basis and waive any right to participate in a class-action lawsuit or class-wide arbitration against Sortaflow.
If you are an EU or UK consumer, you may also use the EU Online Dispute Resolution platform.
Changes to Terms
We may update these Terms from time to time to reflect changes in the Service, legal requirements, or our policies. When we make material changes, we will:
- Update the "Last updated" date at the top of this page
- Send an email notification to registered users at least 14 days before the change takes effect
- Display an in-app banner during the 14-day notice period
Your continued use of the Service after changes take effect constitutes your acceptance of the revised Terms. If you do not agree, you may close your account before the new Terms apply.
